We are a payroll bureau. Payroll is all we do, which means the complicated parts of it get proper attention rather than being squeezed in around other work.
Plenty of providers will happily run two hundred salaried employees who get paid the same amount on the same day every month. That is a solved problem, and software solves most of it.
The payrolls that need actual people are the other ones. Security officers on rotating twelve-hour shifts with holiday pay averaged over a reference period. A construction firm running CIS and PAYE side by side with subcontractors who need verifying before they are paid. An agency putting four hundred temps through a weekly cycle where a third of the timesheets arrive late. A technology business with three contractors inside IR35, two outside it and an engineer who has moved to Portugal.
Those are the payrolls we built the business around. Not because they are glamorous, but because they are where the errors are, and where somebody who knows the rules makes an obvious difference.
We work with employers directly, with recruitment agencies who want the processing behind their own brand, and with accountancy practices whose clients expect payroll but whose staff are built for year-end.
Less a set of values than a set of habits, which is what actually determines whether a payroll is any good.
Every run is reconciled and variance-checked against the previous period before it reaches you. Finding an error after payday is not the same as finding it.
We will not make a status determination for you or pretend an arrangement is compliant because it suits both of us. Telling a client something they do not want to hear is part of the service.
Somebody who knows your rates, your calendar and which of your managers always submits late. Continuity is worth more in payroll than almost anything else.
Determinations, verifications, calculations, submission receipts and pension records held so a position taken two years ago can still be explained.
Being precise about this at the start prevents most of the arguments that happen later. It also tells you something about a provider that its competitors will not.
A little more about who we are and how we work.
We run payroll for other businesses. Managed payroll for employed staff, contractor and CIS pay runs, deemed employment under the off-payroll rules, PEO and Employer of Record arrangements, workplace pension administration, RTI reporting and country-level European payroll. What we do not do is give employment law advice, make status determinations on your behalf, or act as your accountant.
Mostly in who answers when something is wrong. A large provider gives you a good portal and a ticket queue. We give you a named person who knows your payroll, on a phone number that reaches them. For a straightforward salaried payroll a platform is often the cheaper answer and we will say so. For a workforce with shifts, sites, mixed status or a border in it, the difference shows up in the first difficult month.
They are sister operations under the Remote Payroll Services name, working from the same standards. RPS Management leads on managed and outsourced payroll for UK employers, including deemed employment and contractor pay runs. RPS Contracts leads on contract and construction workforces. If your enquiry is a better fit for the other side of the business we will tell you rather than take the work anyway.
Where you remain the legal employer, the statutory liability to HMRC stays with you. That is how the law works and no bureau can contract out of it. What we take on is the professional responsibility for doing the work correctly, and we carry professional indemnity cover for it. Where an error is ours, we fix it, we deal with HMRC about it, and we do not send you an invoice for the correction.
Payroll data is among the most sensitive a business holds: bank details, addresses, salaries, National Insurance numbers, and often health information through sick pay. It is held on access-controlled systems under UK GDPR, shared only with the parties who need it to run the payroll, and retained for the statutory periods and no longer. We act as processor to your controller and the terms of that are written down.
Half an hour on your current pay runs, and a straight answer about whether moving them to us would actually improve anything.
